Acceptable Use Policy
Effective Date
Oct 27, 2026
Version 1.3 WireApps Limited, Sri Lanka
This Acceptable Use Policy ("Policy") applies to all users of the HireVia AI platform and forms part of the Terms of Service. By accessing the Services, you agree to comply with this Policy. Violation may result in suspension or termination under ToS §14.3.
In Short
Use HireVia AI only for lawful, ethical, professional hiring — no discrimination, unlawful data processing, security abuse, IP infringement, or platform abuse.
No ghost jobs, fake interviews, candidate fees, requests for banking/financial details, or harvesting candidate data.
You're responsible for human review, training your team on AI limits, documenting when you diverge from AI recommendations, and monitoring for bias — AI never shifts hiring responsibility away from you.
Violations can lead to a warning, suspension, termination, content removal, or legal/regulatory action; we generally give notice first unless urgency requires otherwise.
Purpose
HireVia AI supports lawful, ethical, and professional hiring. This Policy sets out prohibited conduct to keep the platform secure, compliant, and fair for customers and candidates alike.
Prohibited Uses
2.1 Unlawful & harmful activity. Violating applicable law (data protection, employment, anti-discrimination, immigration); uploading illegal, fraudulent, defamatory, harassing, or hateful content; facilitating violence or exploitation.
2.2 Discrimination & bias. Using the Services to discriminate on any protected characteristic; creating job postings with discriminatory requirements; making solely automated candidate decisions without human review; circumventing fairness or audit controls.
2.3 Data protection violations. Processing personal data without lawful basis; uploading special category data unless expressly authorised in writing by HireVia AI; sharing or selling candidate data to unauthorised third parties; using candidate data for anything other than legitimate recruitment; attempting to re-identify anonymised data.
2.4 Security violations. Unauthorised access attempts; probing or scanning systems without written permission; disrupting the Services; circumventing security controls; scraping without consent; reverse engineering; transmitting malware. Report suspected compromise immediately to support@hirevia.ai.
2.5 Intellectual property. Infringing IP rights; removing proprietary notices; copying platform features; using the Services to build a competing product.
2.6 Platform abuse. Creating accounts to evade restrictions; sharing credentials; circumventing the usage limits of your subscription plan (usage beyond an allowance that your plan permits, and bills as overage, is not a violation); sending spam; uploading content unrelated to recruitment.
Recruitment Fraud & Candidate Protection
You must not use the Services to:
Post ghost jobs — roles that don't exist or aren't being actively recruited.
Collect candidate data under false pretences or for non-recruitment purposes.
Charge candidates fees for applications, screening, equipment, or training.
Conduct fake interviews or issue fraudulent offers.
Request candidate banking, credit card, or financial details during application.
Impersonate legitimate companies or recruiters.
Harvest candidate data for resale, spam, or list-building.
Request excessive personal information beyond legitimate recruitment needs (e.g. national ID, passport, or bank details at initial application).
Exploit candidates through unpaid "trial" work with no genuine hiring intent.
Use candidate responses, samples, or assessments for anything other than hiring evaluation.
"Ghost" candidates — collect their data then fail to provide reasonable updates.
Customer Responsibilities for Ethical AI Use
As the deployer of AI features (see ToS §4.3 and the AI Governance Addendum), you are responsible for:
Human review — meaningful human evaluation of all AI-assisted outputs before any decision affecting a candidate.
Training — ensuring hiring teams understand AI limitations, confidence scores, and bias risks.
Documentation — recording your review process, especially when diverging from AI recommendations.
Monitoring — reviewing recruitment outcomes for patterns of bias or unfair impact.
Transparency — informing candidates that AI is used, where required by law.
Accountability — retaining ultimate responsibility for all hiring decisions. AI tools do not shift legal or ethical responsibility to HireVia AI.
Content Standards
All uploaded content must be accurate, professional, and relevant to recruitment. Do not upload sensitive personal information beyond what is necessary for legitimate hiring. You are responsible for ensuring content complies with applicable law and this Policy.
